These Terms of Service (“Terms”) govern your access to and use of the thevirtualtravelclinic.ca website and the services provided by Virtual Travel Clinic in partnership with Cloud Pharmacy (“we”, “us”). By using the site or booking a consultation, you agree to these Terms.
1. Nature of services
We provide virtual pre-travel medical consultations with licensed Canadian physicians and, where appropriate, prescription medications and travel vaccines dispensed at Cloud Pharmacy in Toronto, Ontario. Services are intended for pre-travel preventive care only.
Our services are not emergency services. If you are experiencing a medical emergency, call 911 or proceed to your nearest emergency department. If you are currently unwell (fever, vomiting, serious symptoms), do not use our service — consult your primary care provider or an urgent-care clinic.
2. Eligibility & identification
You must be physically present in Canada at the time of consultation and provide accurate identification. Services to children are provided through a parent or legal guardian. We may decline to provide service at our clinical discretion.
3. The physician–patient relationship
A physician–patient relationship is established only after a completed consultation. The relationship is limited to the scope of travel medicine unless otherwise expressly agreed. We do not act as your primary care physician, and we do not replace your family doctor.
4. Prescriptions & vaccines
Prescriptions are issued at the physician’s sole clinical discretion based on your history, destination, and indications. We cannot guarantee any specific medication or vaccine will be prescribed or administered. Vaccines are administered by a licensed pharmacist or nurse at Cloud Pharmacy or a partner site.
Yellow Fever International Certificates of Vaccination (ICVP) are issued only to individuals who have received the vaccine at our designated centre, subject to clinical appropriateness.
5. Fees, payment & insurance
Consultation and vaccine fees are displayed on our site and in your booking. Payment is due at time of service. Many private insurance plans reimburse our services; we may bill eligible plans directly but you remain responsible for unpaid amounts. Provincial health plans (OHIP, BC MSP, etc.) generally do not cover travel medicine; check with your plan.
6. Cancellations, no-shows, and refunds
- Cancel or reschedule at least 24 hours before your appointment for a full refund.
- Cancellations within 24 hours may be subject to a $50 fee.
- No-shows forfeit the consultation fee.
- Prescription medications and administered vaccines are non-refundable once dispensed.
7. Telehealth consent
By booking a virtual consultation you expressly consent to receiving care by video, telephone, or secure messaging. Telehealth has inherent limitations: the physician cannot perform a physical examination, network issues may affect quality, and in rare cases the physician may determine that in-person assessment is required. 8. Privacy
Your personal health information is handled under our Privacy Policy and applicable Canadian privacy legislation.
9. Intellectual property
All content on the site — text, graphics, logos, code — is owned by or licensed to Virtual Travel Clinic. You may not reproduce, redistribute, or create derivative works without our prior written consent, except for personal non-commercial use.
10. Acceptable use
You agree not to misuse our site: no scraping, automated access, security probing, impersonation, or submission of false information. We may suspend or terminate access for violations.
11. Disclaimers & limitation of liability
Information on the site is for general education only and does not constitute medical advice. Our services are provided on an “as is” and “as available” basis. To the maximum extent permitted by law, our aggregate liability for any claim arising from the service is limited to the total fees you paid us in the 12 months preceding the claim. Nothing in these Terms excludes or limits liability for negligence causing death or personal injury, or for anything that cannot be limited by Canadian law.
12. Indemnification
You agree to indemnify and hold us harmless from claims arising out of your misuse of the site, your breach of these Terms, or your violation of any law.
13. Governing law & dispute resolution
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Disputes will be resolved by the courts of Ontario, except that either party may seek injunctive relief in any competent court. Nothing in these Terms affects your rights as a consumer under mandatory Canadian law.
14. Changes
We may update these Terms from time to time. The revised version takes effect when posted with a new “Last updated” date. Continued use of the service after changes constitutes acceptance.
